This is a Part-Time position working 20 hours a week.
The Grant Coordinator is a half time position primarily serving the HHS Combat Cancer Hub and Spoke Program. Grant Coordinator provides operational leadership, rigorous financial tracking, and cross-network management for the Iowa HHS Cancer Hub & Spoke Grant. Located within our hospital system, this individual acts as the primary contact for all grant-related activities, driving execution across clinical oncology teams, rural spoke clinics, and state administrative bodies.
The coordinator works in close alignment with the MercyOne Foundation Grant Compliance Manager to protect financial integrity, manage the programmatic work plan, ensure audit readiness, and serve as an essential strategic resource to the KHC Oncology Team
Essential Functions
Core Areas of Accountability
1. Programmatic Oversight & Meeting Management
- Work Plan Fidelity: Maintain deep familiarity with the grant expectations and work plan to actively ensure the project progresses on schedule and meets milestones.
- Network Leadership: Provide guidance and direction to network stakeholders to satisfy explicit grant expectations.
- Meeting Facilitation: Coordinate, program, and facilitate internal and external grant meetings; attend all Iowa HHS state meetings and regional hub-and-spoke committee sessions.
- Public Relations Support: Execute targeted administrative functions that advance the promotional and public awareness objectives of the grant.
2. Fiscal Control, Procurement & Audit Readiness
- Documentation Architecture: Gather, verify, and organize expense documentation, including itemized receipts and meticulous timesheets for personnel splitting hours with the grant.
- Invoice Administration: Review, vet, and approve all incoming invoices and partner reimbursement documentation to ensure allocations strictly align with formal grant agreements.
- Procurement Drive: Actively participate in the purchasing and procurement process to keep equipment acquisitions and technical updates moving forward without delays.
- Audit Enforcement: Preserve complete financial grant records on-demand for independent funder audits and participate seamlessly in annual Single Audits for federal funds.
3. Data Systems, Reporting & Sustainability
- Data Synthesis: Systematically gather operational data, patient encounter volumes, and clinical performance metrics from across the hub-and-spoke footprint.
- Report Management: Author or facilitate the collaborative writing of high-quality mid-term, annual, and close-out progress reports for the funding agency.
- Future Funding Development: Facilitate and support the research and assembly of new grant applications to extend or expand the cancer care program’s lifecycle.
4. Relationship Management & Team Resource
- KHC Team Alignment: Function as an accessible, go-to resource for the KHC Cancer Team to answer compliance questions or research complex grant solutions.
- Stakeholder Synergy: Build and sustain positive, trusting relationships with clinical teams, administrators, foundation leaders, and state partners to foster a unified network.
Job Requirements
- Education: Bachelor’s degree in Healthcare Administration, Finance, Business, Public Health, or a related healthcare field preferred
- Experience: 1-2 years of experience handling grant coordination, clinical project tracking, or healthcare contract administration preferred
- Technical Competencies: Strong command of spreadsheet systems, document curation, basic accounting/time-allocation tracking, and workflows tied to federal or state-funded healthcare grants.
- Interpersonal Excellence: Exceptional organizational skills with a natural ability to build consensus, maintain strict reporting deadlines, and translate grant restrictions into practical hospital workflows. Must have excellent communication skills. Oral and written presentation skills needed.
- Mandatory Reporter for adult and child abuse reporting required by end of orientation period
- Required to complete all annual competency training and maintain license and/or certification.
