Accounts Payable Clerk/Accounting Assistant

This is a Full-Time position working 40 hours a week.

The Fiscal Services Accounts Payable Clerk position acts under the direction of the Controller /Director of Fiscal Service in performing accounts payable and cash / banking duties, maintains necessary records and performs clerical duties. Acts as a back-up for assisting with hospital payroll processing and assists with accounting functions as directed.

Essential Functions

  •  Among other regular accounts payable duties, this position compiles accounts payable packets by matching packing slips and check requests with the appropriate invoices. Also prepares packets for coding and review by Controller.
  • Processes account payable runs on a weekly basis.
  • Processes online payments and ordering as instructed by Controller.
  • Processes Patient account Refunds as received from the Business Office.
  • Maintains vendor master accounts payable files, cumulative sanction reports, W9 forms, and sales tax exemptions, required Business Associated Agreement forms.
  • Prepares annual 1099’s.
  • Cash and banking duties include preparing deposits, delivering deposits to local banks at appropriate times as directed by the Controller.
  • Maintains petty cash drawer for making change and cashing checks and upholds confidentiality concerning banking and financial information.
  • Maintains financial records by completing special projects as assigned and assisting with annual audits and budgets as directed by Controller.
  • Performs daily clerical duties such as typing, photocopying, faxing, filing, answering telephone and taking messages
  • Assists Controller with the monthly maintenance of the General Ledger and monthly financial reporting as assigned.
  • Act as backup for the Controller when necessary.
  • Act as backup for payroll processor as needed
  • In the absence of the Payroll Coordinator this position will be responsible for the following payroll tasks:
  •   Maintains payroll information by collecting, calculating, and entering data as required.
  •   Update changes in employee profiles in the payroll system such as pay rates, exemptions, and savings/deductions.
  •   Develops and maintains accounting controls and processes to ensure payroll calculations are accurate.
  •   Reconciles payroll liabilities by calculating employee and employer social security taxes.
  •   Resolves payroll discrepancies by collection, reconciling, and analyzing the payroll data.
  •   Provides payroll information as requested by department leaders.
  •   Provides the necessary reports to leaders following payroll processing.
  •   Maintains payroll operations by following KHC policies and procedures.
  •   Maintains confidentiality always, concerning payroll and employee information.
  •   Contributes to team effort by accomplishing related results as needed.
  •   Prepares reconciliation of quarterly reports related to payroll.
  •   Other duties as assigned by Controller.

Job Requirements

  •  Associate’s degree in business and/or Accounting.
  • Minimum two years’ experience in the areas of accounts payable and computers.
  • Valid drivers’ license.
  • Positive people skills with ability to deal with difficult people in a tactful manner.
  • Must demonstrate the ability to learn quickly and follow detailed instructions.
  • Must be able to work independently and utilize good judgment in making decisions.
  • Must be able to maintain confidentiality concerning hospital financial and payroll issues.
  • Must be able to alphabetize and perform data entry.
  • Strong skills in Microsoft Office including Excel.
  • Experience with Multiview and UKG/Kronos software a plus.
  • Required to complete all annual competency training and maintain license and/or certification.
